Which AI tool should I use?
Here's why most tool-picking fails: owners start from the tool and work backwards to a problem. That's backwards. Start from the problem — the weekly task you dread — and match a tool to that. Everything else is noise.
How to actually choose
- Name the task you hate most — drafting proposals, answering the same questions, writing posts, summarizing meetings. Pick one.
- Try the free tool that fits it first. ChatGPT and Claude are genuinely good free starting points for writing and drafting.
- Test it for two weeks on that one job. Not a tour of features — a real task, repeatedly, and track the time it saves.
- Pay only when it earns it. If it saves you hours, a paid tier is worth it. If you forget it exists, it isn't.
A quick map
ChatGPT or Claude for emails, posts, outlines, summaries. Free tiers are enough for most.
A specialized app for your one painful workflow — bookkeeping, proposals, support. Pay when it saves you real hours.
If it touches customer or financial data, choose a tool that runs on your own machines — not a shared cloud tool.
Key point — One tool doing the task you hate beats four tools doing nothing. Choose the problem first, then the tool.
