How do I know if AI is actually working for my business?

Updated Oct 2026 · 3 min read
Straight answer: pick one number before you start — hours saved a week, reply time, jobs booked — and compare 30 days of using the tool against the 30 days before. No change after a month? Fix how you're using it or drop it.

The trap is measuring by feel. "It seems faster" is how tools survive for a year while doing nothing. A number written down before you start is the only honest scoreboard, because after you've paid and set up, you'll want it to be working.

Three numbers that work

Number 1
Hours back

Time spent on the one task you bought the tool for, per week. Track it the week before you start, then monthly.

Number 2
Speed to customer

How long a quote, reply, or booking takes now versus before. Response time is where customers actually feel AI.

Number 3
Rework rate

How often AI output gets fixed before use. High rework means the tool isn't saving anything — it's moving the work around.

The honest math: if a tool saves 3 hours a week at $75/hour, that's roughly $11,000 a year. A $30/month tool that delivers that is a bargain. A $30/month tool that delivers nothing is a subscription you forgot to cancel — which is why the 30-day check matters more than the demo.

Key point — If you can't name the task, you can't measure the tool. Start with one task you can point to, and the number takes care of itself.
